Thesis Submission

Review each stage carefully. Check the page Degree Completion and Resources from the SGSPA.

All graduate students working on a thesis must register for each term until they have completed the requirements for their degree program.

Please note that requirements are considered complete when one digital PDF copy of the thesis, revised as recommended by the Thesis Examining Committee and finally approved by the supervisor/committee, is submitted to the School of Graduate Studies through the E-Thesis submission process in QSpace.

Process Before Defence

  1. The student prepares the thesis. Check Thesis Formatting and Other Resources from the SGSPA and make sure to follow all copyright regulations described on the Queen's Library page Copyright Information for Students.
  2. The student and supervisor agree on a tentative date for the exam so a timeline for internal review can be established.
  3. The supervisor reviews the thesis and determines if it can be submitted to an internal reviewer. The supervisor selects another faculty member to be an internal reviewer. Only one internal reviewer is required for a MSc thesis.
  4. The student submits the thesis to the internal reviewer, who has five business days to review the thesis and provide feedback. The Internal Review Form needs to be completed and submitted to the Chemistry Grad Platform.
  5. Once the internal review is complete, the supervisor selects the members of the examining committee and fills out the MSc Oral Thesis Examination form. The student submits this form to the Chemistry Grad Platform. The Graduate Assistant will then obtain the signatures of the Graduate Coordinator, and if applicable, of the Department Head, and then send the form to the SGSPA. Note that the SGSPA needs to receive this form at least 10 business days before the defence.
  6. The student hands in one digital copy of the thesis to all committee members, including the Chair. The thesis can be provided to the examiners once they have been confirmed and the internal reading has taken place.

Composition of Examining Committee

  • A Chair (Department Head or Delegate)
  • The supervisor
  • Two faculty members in the Department of Chemistry or other Cognate department

  2. The student and supervisor agree on a tentative date for the exam so a timeline for internal review can be established.
  3. The supervisor reviews the thesis and determines if it can be submitted to the internal reviewers. The supervisor selects two faculty member to be internal reviewers, such as the faculty members on the student's Supervisory Committee.
  4. The student submits the thesis to the internal reviewers, who have five business days to review the thesis and provide feedback. The Internal Review Form needs to be completed and submitted to the Chemistry Grad Platform.
  5. Once the internal review is complete, the supervisor selects the members of the examining committee and fills out the PhD Oral Thesis Examination form. The student submits this form to the Chemistry Grad Platform. The Graduate Assistant will then obtain the signature of the Graduate Coordinator and then send the form to the SGSPA. Note that the SGSPA needs to receive this form at least 25 business days before the defence. Final approval of the Examination Committee lies with the Dean of the School of Graduate Studies.
  6. The student hands in one digital copy of the thesis to all committee members, including the Chair. The thesis can be provided to the examiners once they have been confirmed and the internal reading has taken place, and it should be provided at least 25 business days before the defence.

Composition of the PhD Thesis Examination Committee

The Examination Committee for the Ph.D. thesis defense consists of:

  • A chair
    • Queen's Faculty member outside of Chemistry; or,
    • Chemistry Faculty member (must be at arms-length); or
    • Head's Delegate can act as both Chair and Examiner (must be at arms-length; cannot vote)
  • The supervisor
  • The Head's delegate in the Department of Chemistry (if acting as chair, must be at arms-length)
  • One faculty member in the Department of Chemistry (internal)
  • One faculty member from another Department at Queen's in the same Division (internal/external)
  • An external examiner from outside Queen's University.

A student who completes a program mid-term is eligible for a partial refund of student activity and tuition fees assessed for that term. Students are required to return their student card to the Office of the University Registrar - Records & Services for a refund of student activity fees. Health and Dental fees are not refundable if the completion date is after the opt-out period. Students who complete their program during the benefit year remain on the Health & Dental Plan until August 31.
